Privacy Policy
Boring Translations Inc. ("Boring Translations", "we", "us") provides translation, localization and language operations services from Taiwan. This policy explains what personal data we handle, why, on what legal basis, and what you can ask us to do about it.
It is written to meet the requirements of Taiwan's Personal Data Protection Act (PDPA) and, where it applies to you, the EU and UK General Data Protection Regulation (GDPR).
1. Scope
This policy covers personal data we process through this website, through our enquiry and request-for-quote forms, through email and messaging correspondence, and in the course of delivering services to our clients.
Where a business client decides why personal data in project material is processed and instructs us to process it on its behalf, we generally act as a processor and that client acts as controller. In other circumstances — including enquiries, our own business administration, legal obligations, client relationship management, and work commissioned by the individual the documents concern — we act as controller.
2. What we collect
- Enquiry and quote data. Company name, contact name, role, work email address, telephone number, and the details you give us about a project: content types, languages and markets, volume, timeline, existing terminology assets, security requirements, and what you tell us must not go wrong.
- Correspondence. Emails, messages and call notes exchanged with you, and the files attached to them.
- Client project data. Source documents and reference material you send us for translation, together with any personal data they happen to contain.
- Technical data. IP address, browser and device type, pages viewed and referring page. Our website analytics sets no cookies and reports in aggregate.
- Billing data. The information needed to issue and record an invoice.
We do not ask for special category data, government identification numbers or payment card numbers through this website. Documents sent to us for certified translation often do contain identification data; we handle those under section 5.
3. Why we process it, and on what legal basis
| What we do | Legal basis under GDPR |
|---|---|
| Answer an enquiry and prepare a quote | Steps taken at your request prior to entering a contract (Art. 6(1)(b)) |
| Deliver and administer an engagement | Performance of a contract (Art. 6(1)(b)) |
| Keep records of what was agreed and delivered | Legitimate interests, and legal obligation where tax or company law requires it (Art. 6(1)(f), 6(1)(c)) |
| Understand how the website is used | Legitimate interests in maintaining and improving the site (Art. 6(1)(f)); no cookies or similar device storage are used |
| Send service information or marketing | Your consent, which you may withdraw at any time (Art. 6(1)(a)) |
We do not sell personal data, and we do not use enquiry data to build or enrich marketing lists.
4. Providing your data
You do not have to give us personal data unless the law or an agreement with us requires it. If you do not give us information we reasonably need in order to prepare a quote, enter into an engagement or deliver the service requested, we may not be able to answer the request or carry out the work.
5. Documents you send us for translation
This is the part most clients care about, so we state it plainly.
- Source documents are used only to deliver the engagement they were sent for.
- We do not use client content to train artificial intelligence models, our own or anyone else's, and we do not permit our suppliers to do so.
- Every linguist who works on your material is under a written confidentiality agreement before they receive it.
- Translation memory, terminology management, machine translation and AI assistance are used only as agreed for that engagement. If you prohibit them, or require a controlled environment, tell us before work starts and we will work to that constraint and record it.
- Physical originals are returned or destroyed according to your instruction.
- We will sign your non-disclosure agreement on request, or provide ours.
6. Who we share it with
We use a small number of service providers to run our operations. They process personal data on our instructions, under the data-protection terms applicable to each service.
| Provider | Purpose | Where |
|---|---|---|
| Cloudflare | Website hosting, DNS, content delivery, cookie-free website analytics, and the endpoint that receives this site's forms | Global edge network |
| Resend | Delivery of the notification email generated by our request-for-quote form | United States |
| Google (Google Workspace) | Business email, calendar and file storage | Global |
We also engage professional linguists and reviewers, each under written confidentiality obligations, and we may disclose information to accountants, auditors, legal advisers, or a public authority where the law requires it.
We do not transfer your personal data to any other third party without your instruction or a legal obligation to do so.
7. International transfers
We operate from Taiwan, and our service providers operate internationally. Processing your personal data therefore involves transfers outside the country in which you are located, including outside the European Economic Area and the United Kingdom.
Where applicable law requires safeguards for an international transfer, we use the transfer mechanisms available for the service and jurisdiction concerned, such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum. You may ask us which safeguard applies to a particular transfer.
8. How long we keep it
- Enquiries that do not become an engagement are kept for 12 months from our last contact with you, and are then deleted. Enterprise procurement often restarts in a later budget cycle, and we would rather have the context than ask you to repeat yourself. Tell us at any time and we will delete them sooner.
- Project files and deliverables — source material, reference files and the translations we deliver — are kept for 24 months after delivery, so that we can answer queries, re-issue a delivery and work consistently on the next version. We will agree a shorter period, or deletion on delivery, when your policy requires it.
- Translation memory and terminology are kept for as long as we are working together, and are deleted within 12 months of the engagement ending unless you ask us to keep them for future work or to hand them over to you.
- Physical originals are returned or destroyed on your instruction, as described in section 5.
- Records of what was agreed, invoiced and delivered are kept for the periods required by Taiwanese accounting and tax law — currently five years for accounting vouchers and ten years for books and financial statements.
- Website analytics data is kept for up to 14 months.
When a retention period ends, data is deleted or irreversibly anonymized.
9. Security
We apply access control, encryption in transit, and need-to-know distribution of client material. Access to project files is limited to the people working on that project. Suppliers are engaged under written confidentiality terms. Our systems are maintained with current security configurations, and we review them periodically.
No system is perfectly secure. If a breach affects your personal data and the law requires notification, we will notify you and the competent authority within the required time.
10. Cookies and analytics
This site uses Cloudflare Web Analytics to understand how the site is used — which pages are read, where visitors arrive from, and how quickly pages load. It sets no cookies, does not fingerprint visitors, and does not build a profile that follows you to other websites. The measurements are aggregated.
We use no advertising, retargeting or cross-site tracking technology. Because our analytics writes nothing to your device, there is no cookie banner on this site.
When you submit the request-for-quote form, the form records which link on our site you used to reach it. That is part of your enquiry, not a tracking cookie, and it is deleted with the enquiry.
11. Your rights
Subject to the conditions in the applicable law, you may:
- ask what personal data we hold about you and request a copy;
- ask us to correct or complete it;
- ask us to delete it;
- ask us to restrict or stop processing it;
- object to processing carried out on the basis of our legitimate interests;
- receive the data you gave us in a structured, commonly used, machine-readable format, or have it sent to another provider (GDPR);
- withdraw a consent you have given, without affecting processing already carried out.
Write to mario.wu@boringtranslations.com. We will respond within one month, and will tell you if we need longer because the request is complex.
Where we process documents as a processor on a client's instructions, please direct your request to that client; if you contact us instead, we will pass it on and tell you that we have.
If you believe we have handled your personal data unlawfully, you may complain to your national supervisory authority (in the EEA or the UK) or to the competent authority in Taiwan.
12. Children
Our services are directed at organizations and the professionals who work for them, not at children. We do not knowingly collect personal data from children through this website. Documents sent to us for translation sometimes concern children — birth certificates and school records, for example — and are handled as client content under section 5.
13. Other websites
This site links to external resources, including government and judicial pages relevant to certified translation. Those sites have their own privacy policies, and we are not responsible for their content or their data practices.
14. Changes to this policy
We may update this policy. The current version is always the one published here, and it takes effect when published. Material changes affecting an active engagement will be raised with you directly.
